If so, how many days should be before we can give a notice?
Can we ask for the documents and cheque before the end of the contract for the subsequent year renewal?

Dear questioner,
I assume you are in Dubai.
Dubai Law no. 26 OF 2007 [Regulating relationship between landlords and Tenants in the Emirate of Dubai] is the governing law.
Article 14 states as follows:
"If either party opts not to renew the tenancy contract or wishes to amend any of its conditions, then he must notify the same to the other party not less than 90 days prior to the expiry date unless both parties agreed otherwise."
If there is no such written communication between the tenant and the landlord, the tenancy will be automatically renewed at the same rent and same conditions as the previous year.
If you intend to renew the contract, the law is not mandating any notice or notice period.
